How to build a Notion job application tracker (and when to switch)

Notion is a natural place to build a job tracker. It is a flexible database with several ways to view the same data, and you may already live in it. Done well, a Notion tracker is pleasant to use. Done casually, it becomes a collection of pages you stop opening. This guide covers a setup that holds up, and the limits worth knowing before you commit.
Create the database
Make a new full-page database called Applications. One row per application. Add these properties:

Keep the property count small. Every field you add is upkeep.
Set up the views
Notion's strength is that one database gives you several views.
Board, grouped by Status. This is your pipeline. Drag a card as it moves from Applied to Interviewing.
Table, sorted by Next step date. Filter out Rejected and Wishlist, and this is your "what do I do today" list.
Calendar, by Next step date. Interview dates show up on a month grid.
Follow-up view. A table filtered to Status is Applied with Applied more than ten days ago. These are your quiet applications.
What Notion does well
- Total control over fields and layout.
- Notes attached to each job as a full page, with checklists and links.
- Job search notes sit next to the rest of your life in one workspace.
- Free for personal use.
Where it falls short
Notion is a general tool, and a few things are not built in:
- Reminders are basic. You can set a date property to remind you, but there is no reminder designed around interview rounds.
- The calendar is a view, not a feed. You can see dates in Notion, but getting rounds into Apple or Google Calendar takes extra setup.
- No purpose-built AI connection. You can connect assistants to Notion in general, but nothing is tuned for a job board.
None of these is a flaw. They are the cost of a flexible tool.
